Frequently asked questions about reporting a concern

Q) What if this is an emergency?

If you require emergency assistance, please contact your local emergency services immediately. Events presenting an immediate threat to life or property should not be reported through this site or the helpline, as an immediate response cannot be guaranteed.

Q) Who is EthicsPoint?

EthicsPoint is an independent company that provides confidential and anonymous web and phone based reporting channels for a variety of companies. EthicsPoint also offers web and phone translation services 24 hours a day.

Q) Should I report my concern through EthicsPoint or directly to IHG?

IHG hopes that staff will feel able to report any concerns to their line managers, or another member of management if appropriate, in the first instance. However, we recognise that it may not always be possible to do this. In these instances, a confidential report can be filed through EthicsPoint online or by telephone.

Q) Why should I report my concerns?

IHG employees have an obligation to behave ethically and protect our reputation. These principles lie at the heart of who we are as a company, and nothing should ever compromise our commitment to honesty and integrity. Therefore, if you observe behaviour that concerns you, please raise this issue promptly.

Q) What if I face retaliation?

IHG does not permit retaliation against employees making good faith reports of either suspected breaches of the Code of Ethics and Business Conduct or suspected violations of the law. If you believe you have faced retaliation of any kind, please report it through the Confidential Disclosure Channel so that IHG can investigate the conduct and take appropriate action.

Q) Can I file a report anonymously?

When you file a report you can choose either of the following options:

  • Identify yourself
  • When you file a report, you are encouraged to provide your name and contact details. You are assured that this information will be kept confidential at all the stages of the process and in particular will not be disclosed to third parties. Your identity, however, may need to be disclosed to people conducting the inquiry into your report as well as relevant people involved in any subsequent judicial proceedings or law enforcement investigation instigated as a result of an inquiry conducted. Your identification can make the investigation progress faster as IHG can have direct contact with you if they have any additional questions. IHG and EthicsPoint will make every effort to ensure that your information is held securely (see below for further guidance about data privacy).

  • Remain anonymous
  • IHG does not encourage anonymous reports. Indeed, you should be aware that anonymous reporting may make it difficult to conduct an investigation into the issues reported. However, you will be able to use the online or phone reporting processes to report anonymously if you wish. When you file a report, you will be provided with a unique report key and asked to create a password (see below). You should retain this information securely in order to return to the report you submitted. It is particularly important for anonymous reporters to regularly login and check their reports as this will be the only channel available for IHG to ask you for additional detail.

Q) Can I monitor investigation progress and/or add detail to my report?

When you file a report, you will receive a unique report key and are asked to create a password. You can return to your report again at any time, either online or by telephone. By returning to your report you may:

  • Monitor the progress of the investigation into your report
  • Access the original report to answer questions from the investigator
  • Add further information that will help resolve open issues

Please note that the time taken to investigate and resolve a report depends on the specific circumstances detailed within it, and can vary considerably from report to report.

Q) What if I have forgotten my username or password?

Unfortunately it is not possible to retrieve a lost password or report key as reporter information is not tracked or logged for data privacy purposes. Therefore, if you have lost your report key or password, please file a new report that references the date and issue type of your original report, and the investigatory team will contact you to confirm that you are the reporter of the initial information.

Q) Are translation services provided?

Translation services are available as follows:

  • For online reports
  • You may file a report online using your local language and translators will translate your report into English. To translate this webpage into another language, please click on the specified language at the top of the page.

  • For telephone reports
  • You must say the name of your preferred language in English when the operator answers the phone. You will then be passed to a translator who will speak your preferred language.

Q) How is my report kept confidential?

EthicsPoint does not capture the Internet Protocol (IP) address or the phone number of the reporter. In addition, reports are housed on a secure encrypted server.

Within IHG, only a specialist investigatory team will have access to your report, and every report is treated with discretion.

Q) How does IHG investigate concerns?

IHG has a small group of dedicated personnel who are responsible for reviewing all reports filed and ensuring that they are investigated fully. EthicsPoint informs these personnel every time a report is filed and an appropriate investigation will then be prepared and conducted, using internal and/or external resources as required. Rest assured that your report is only shared with the necessary staff and is handled with extreme discretion.

Should one of the dedicated personnel be mentioned in your report, EthicsPoint will ensure that this person cannot access the report and will notify an independent person of the need for investigation.

IHG commits to investigating all reports received. You will be notified when the investigations into your report has been completed. However, for legal reasons, it may not always be possible to inform you of the outcome of the investigation.

Q) When should I expect to hear back from IHG?

IHG aims to acknowledge each report filed and commence investigation within 7 days of submission.

The time taken to complete the investigation will depend on the specific circumstances detailed within each report and can vary considerably from report to report. You will be notified when the investigation into your report has been completed. Please note that, for legal reasons, it may not always be possible to inform you of the outcome of the investigation.
