What is the Compliance and Ethics Helpline?
The Compliance and Ethics Helpline, also referred to as EthicsPoint, is a comprehensive and confidential reporting tool hosted by third-party specialist provider NAVEX. The Compliance and Ethics Helpline offers mobile, web, and telephone reporting 24 hours a day, seven days a week, 365 days a year.
Who can file a report using the Compliance and Ethics Helpline?
Rogers employees as well as outside parties (e.g., current and former patients) are able to file a report using the Compliance and Ethics Helpline.
Why do we need a system like EthicsPoint?
Open channels of communication assist us in creating a safe, secure, and ethical workplace for employees and environment of care for patients. An effective reporting system is an essential element to assure a culture of excellence, integrity, and accountability.
Why should I report?
We all have the right to work in a positive environment and we are all accountable for acting in an ethical manner. Everyone is responsible for ensuring that Rogers retains its culture of ethics and compliance by reporting concerns, regardless of position or department. By working together, we maintain a healthy and productive environment for everyone we serve.
What types of situations should I report?
You should report any situation involving potential misconduct or violation of the law, Rogers’ Code of Conduct, or company policy. The Compliance and Ethics Helpline may also be used by employees and outside parties to ask a question.
Where do these reports go? Who can access them?
Reports are entered directly on the EthicsPoint secure server. Reports are available only to specific individuals within Rogers who are charged with evaluating and addressing the report, based on the nature and location of the concern(s).
If I see a violation, can I just report it to my manager, security, or Human Resources and let them handle it?
If you observe behavior that you believe violates our Code of Conduct, company policy, or the law, we expect you to report it. Rogers has many resources you can use if you have questions or wish to report a concern. We encourage you to bring questions and concerns forward to your direct manager, another member of our management team, or to the Compliance team. We recognize, however, that there may be circumstances when you are not comfortable reporting the issue in this manner. It is for such circumstances that the Compliance and Ethics Helpline is available to employees as well as outside parties. We would rather you report anonymously than keep the information to yourself.
Can I remain anonymous?
All methods of reporting will remain secure and have the ability to be anonymous. If you wish to remain anonymous, remember to ensure that the body of the report does not unintentionally reveal your identity. For example, “From my cube next to Jan Smith…” or “In my 33 years working for Rogers in the Finance Department…”.
What if I want to be identified with my report?
There is a section in the report to identify yourself if you choose.
What if I remember something important about the incident after I file the report? Or what if Rogers has further questions for me concerning my report?
When you file a report using the EthicsPoint website or call center, you receive a unique, randomized number called a report key and are asked to choose a password. You can return to EthicsPoint again via internet or telephone and access the original report to add more detail or answer questions posed by an organization representative.
What if I lose my report key or forget the password I created?
To ensure that security and confidentiality are maintained, you will need to file a new report if you lose your report key or forget your password. Mention in the new report that it is related to a report or question you submitted previously.
Can I be disciplined if I report misconduct by someone else?
Rogers policy expressly prohibits retaliation against individuals who report concerns or participate in an investigation of misconduct in good faith. Good faith means that you are acting with sincerity, honesty, and reasonableness.
What if I report something I did wrong?
It is essential that you report it. Failure to report misconduct, even your own, violates Rogers policy. Also, we can’t fix a problem if we don’t know about it. And although we cannot guarantee that you will not be disciplined for your actions, Rogers will take into consideration the fact that you reported the matter, which may lead to less severe disciplinary action, if any at all.
How long will it take to investigate my concerns? Will I learn the results of the investigation?
Some investigations can be completed quickly; others may take several weeks, depending on the nature of the allegation and the investigation itself. The size and complexity of Rogers can, at times, result in a complex and lengthy investigation. Rogers takes all allegations seriously and investigates thoroughly.
Periodic updates and a final response regarding your report can be obtained via the EthicsPoint website or call center. Remember you will need to provide your report key and password. Final responses are not available until the case is closed.
Due to confidentiality and privacy concerns, you may not receive details of findings from the investigation or actions taken, including any disciplinary action taken against another employee for misconduct. Always notify a member of the Compliance team or file another report via the Compliance and Ethics Helpline if you believe the problem continues after it was thought to be addressed and resolved.
