The RELX Integrity Line (the “Helpline”) is provided by RELX Group plc (“RELX”) and operated by NAVEX Inc. (“NAVEX”) on behalf of RELX and its affiliates. This privacy notice explains how personal information is collected, used and shared through and in connection with the Helpline.
We may collect the following categories of information through the Helpline: your name, contact details and whether you are employed by a RELX group company; the name and other data about individuals that are named in your report; a description of the conduct at issue in your report including the date and location, as well as other pertinent information; and any questions you may have. We may also collect information from other sources (such as colleagues and publicly available sources) during any subsequent investigation.
RELX’s Compliance team will evaluate the information provided and may conduct an investigation. We may process the information because we have to comply with a legal obligation; we have a legitimate interest to investigate the report that you submitted to us, to establish, exercise or defend our legal rights, to detect or prevent a crime, or to conduct risk management; for reasons of substantial public interest; or you have provided your consent.
Depending on the nature of the matter, the RELX Compliance team may communicate the report and related documentation to appropriate personnel who may need to be informed, such as representatives of Legal, Human Resources (“HR”), or Audit for further investigation and resolution. Where necessary, the RELX Compliance team may also need to notify members of HR or management of any finding of violation for purposes of determining any disciplinary action and for transparency purposes.
Information may also be shared with RELX’s external advisers (such as lawyers, accountants, financial advisors and/or auditors); affiliates and service providers providing support services; government authorities and agencies (such as regulators, courts and/or law enforcement); and any relevant party if we have a good faith belief that such disclosure is necessary to meet any applicable law, regulation, legal process or other legal obligation; detect, investigate and help prevent security, fraud or technical issues; and/or protect the rights, property or safety of RELX, our employees or others; and as part of a corporate transaction, such as a transfer of a journal or other assets to or an acquisition by or merger with another company.
Any personal data that you provide through the Helpline will be stored in the EthicsPoint® database hosted and operated on behalf of RELX and its affiliates by NAVEX in the United States. See http://www.navex.com/privacy-statement.
Information that we receive from NAVEX and any personal information that you provide directly to us will be stored and processed in your region or another country where RELX and its affiliates and service providers maintain servers and facilities, including the United Kingdom, India, the Philippines and the United States. We take steps, including through contracts, intended to ensure that the information continues to be protected wherever it is located in a manner consistent with the standards of protection required under applicable law.
Information relating to a report made via the Helpline will be retained for as long as necessary to fulfill the purposes described in this privacy notice based on when the investigation has been closed and no further action is needed; when the time period for any relevant litigation has lapsed; and when our obligations for record keeping relating to investigations have lapsed.
We implement appropriate technical and organizational measures to protect personal information that are consistent with applicable privacy and data security laws and regulations, including requiring service providers to use appropriate technical and organizational measures to protect the confidentiality and security of personal information.
You have the right under certain data protection and privacy laws, as may be applicable, to request access to or correction or deletion of personal information, request that we restrict or cease using personal data, and request portability of personal data. We will update this privacy notice from time to time. Any changes will be posted on this page with an updated revision date. If we make any material changes, we will provide notice through the Helpline or by other means.
