What is the Integrity Matters hotline and web reporting tool?

The Integrity Matters hotline and web reporting tool are confidential reporting tools created by an independent third-party, NAVEX, that enable management and associates to work together to address integrity concerns and help us do the right thing by our customers, communities, and company.

Reporting – General

May I report by phone or online?

Yes. The Integrity Matters hotline and web reporting tool enable you to make a confidential report by phone or online. If you would like, you can make an anonymous report through either of these channels.

What should I report?

Please report any and all integrity concerns. This includes any known or suspected violations of our Code of Conduct or any other laws or policies.

If I see a violation, shouldn't I just report it to my manager, asset protection, human resources, or compliance and let them address it?

A key part of our culture is our open-door policy. By letting us know something doesn’t seem right, you give us the opportunity to review the concern. When you have concerns, communicate them to your manager or your HR partner, who will listen, understand the facts, and seek a fair solution.

We recognize there may be circumstances when you are not comfortable reporting an issue directly, and Integrity Matters provides the option to report anonymously.

Does management really want me to report?

We certainly do. In fact, we need you to report. You may have initial knowledge of an activity that may be cause for concern, and reporting can minimize the potential negative impact on our associates and the company. We would rather you report to address the concern than keep the information to yourself.

Also, offering positive input may help identify issues that can improve our culture and performance.

What happens after a report?

Reports are entered into a secure case management system called EthicsPoint. These reports are only available to specific individuals within Dollar Tree and Family Dollar who are charged with evaluating the report, based on the nature of the concern and location of any incident. Report recipients are trained on the importance of handling integrity concerns carefully and sharing information regarding concerns on a need-to-know basis.

Reporting Security & Confidentiality

It is my understanding that any report I send from a company computer generates a server log that shows every website that my computer connects with. Won’t this log identify me as the report originator?

NAVEX does not generate or maintain any internal connection logs with IP addresses, so no information linking your computer to the EthicsPoint system is available.

If you feel uncomfortable making a report on your work computer, you have the option of using a computer outside our work environment (such as one located at a library) through the Integrity Matters website. Many people choose this option, as NAVEX data shows that fewer than 12% of reports are generated during business hours.

Can I report a concern anonymously?

When you make a report, you may choose to remain anonymous. However, we encourage you to tell us who you are, so we can work with you directly to evaluate any concerns you have. If you decide to make your identity known, our investigators will take every reasonable precaution to keep your identity confidential, consistent with conducting a thorough and fair investigation.

Is the Integrity Matters hotline confidential too?

Yes. You will be asked to provide the same information that you would provide in a web-based report and an intake specialist will type your responses into the EthicsPoint system. Telephone reports and web-based reports have the same security and confidentiality measures applied to them.

Tips & Best Practices

I am aware of individuals acting unethically, but it doesn't affect me. Why should I report it?

Our company promotes ethical behavior. All unethical conduct, at any level, ultimately hurts the company and all associates, including you. If you know of any incidents of misconduct or ethical violations, consider it your duty to yourself and your coworkers to report it.

What if I am not sure if what I have observed or heard is a violation of company policy, or involves unethical conduct?

File a report. An intake specialist can help you prepare and file your report so it can be properly understood. We'd rather you report a situation that turns out to be harmless than let possible unethical behavior go unchecked.

What if my boss or other managers are involved in a violation? Won’t they be able to see the report?

The EthicsPoint system is designed to prevent parties who are implicated in a report from receiving notification of the report and from having access to the report.

How do I follow up on a report?

When you file a report through the Integrity Matters hotline or web reporting tool, you receive a unique, randomized number called a “Report Key” and are asked to choose a password. You can return to the Integrity Matters website or call the hotline again and access the original report to add more detail or answer questions posed by a company representative.

If a company representative asks a follow-up question through the website, we strongly suggest that you return to the website to answer the question.

Are follow-ups on a report as secure as the report itself?

Correspondence through the Integrity Matters website is handled with the same security and confidentiality as the initial report, continuing under the umbrella of anonymity if you have chosen to report anonymously.

What if I lose my Report Key or forget the password I created?

To ensure that security and confidentiality is maintained, if you lose your Report Key or password, you will need to file a new report. If you do file a new report, mention in the new report that it is related to a report or question you previously submitted.
