Employee Reporting and Ethics FAQ
Reporting – General
- Why do we use a third-party reporting system?
- Can I report concerns via both the internet and telephone?
- What types of issues should I report?
- Shouldn’t I just report concerns to my manager or Human Resources?
- Why should I report something I’ve observed? What’s the benefit to me?
- Does management actually want me to report?
- Where do the reports go, and who has access to them?
Our employees are our most valuable asset. By establishing open lines of communication, we aim to foster a positive work environment and support high levels of productivity. A robust reporting system also strengthens our commitment to integrity and ethical decision making.
Yes. You can submit a confidential and anonymous report using either the internet or the telephone, whichever is more convenient for you.
You should report any suspected violations of our Business Conduct Guide or other serious concerns you may have.
Ideally, yes—concerns should be directed to your immediate manager or another member of the management team. However, we understand that there may be situations where you are uncomfortable doing so. In such cases, our third-party system offers a secure, anonymous alternative. We would prefer you report anonymously rather than not report at all.
Maintaining a respectful and ethical workplace is a shared responsibility. Reporting misconduct helps protect the company’s culture, reputation, and ultimately, your own work environment. Unaddressed misconduct can negatively impact the organization and all who work within it. We can’t take action, unless we have knowledge of the issue.
Absolutely. Your insights are critical. Employees are often the first to recognize potential problems, and timely reporting can help mitigate risks. In addition, your input may highlight opportunities to improve our culture and overall performance.
Reports are submitted directly to our third-party vendor’s secure servers, ensuring confidentiality. Only a few employees have access to them and keep strict confidentiality.
Reporting Security & Confidentiality
- Will a report submitted from my work computer be traceable to me?
- Can I submit a report from home and remain anonymous?
- What if the content of my report unintentionally reveals who I am?
- Is the toll-free Integrity Helpline also anonymous and confidential?
- What if I prefer to identify myself when reporting?
No. The system does not retain internal connection logs or IP addresses, ensuring that your identity cannot be linked to your report. Furthermore, our third-party vendor is contractually prohibited from attempting to identify any reporter.
If you prefer, you may submit a report from a non-work computer (e.g., at home or in a public location). Many choose this option, and statistics show that fewer than 12% of reports are submitted during business hours
Yes. Reports submitted from any computer or internet access point are completely secure and anonymous. The system does not collect identifying information, and our vendor is contractually bound not to investigate a reporter’s identity
While the system protects your identity, please be cautious when drafting your report. Avoid including details that could inadvertently identify you (e.g., “from my desk next to Jan Smith” or “in my 33 years here…”).
Yes. The same confidentiality and anonymity protocols apply. When calling, you will be asked to provide the same information as an online report. The interviewer will input your responses into the secure system.
There is an option within the report for you to voluntarily include your name and contact information if you choose to do so.
Tips & Best Practices
- I know of unethical behavior, but it doesn’t impact me directly. Why should I report it?
- I’m not sure if what I saw violates a policy, but it seems questionable. What should I do?
- What if someone named in my report is a manager or supervisor? Won’t they see it and cover it up?
- What if I recall additional details after submitting a report, or if the company has follow-up questions?
- Are follow-ups just as secure as the initial report?
- Can I still report if I don’t have internet access?
Unethical behavior at any level can erode the integrity of the company and affect everyone. Reporting such conduct protects not only the organization but also your colleagues and yourself.
When in doubt, report it. It’s better to raise a concern that turns out to be harmless than to ignore potential misconduct.
The system is designed to prevent any party named in a report from having access to it or being notified. This ensures the integrity and impartiality of the review process.
When you submit a report, you’ll receive a unique username and be prompted to create a password. You can use these credentials to log back in (via internet or phone), update your report, or respond to follow-up questions. This allows for secure, anonymous communication to support resolution, even in complex cases
Yes. All interactions are treated with the same strict confidentiality and protection as the original submission.
