What is EthicsPoint?

EthicsPoint is a comprehensive reporting tool to help Relics and the company work together to investigate concerns. Reports are forwarded to the appropriate person and reviewed to determine if an investigation is needed. We appreciate our Relics' use of this system for us to all maintain the highest standards of ethical conduct and business integrity.

Why do we need a system like EthicsPoint?
  • Our Relics are our most important asset. By maintaining open channels of communication, we can promote a positive work environment and maximize productivity.
  • Companies like New Relic may be required by law to have an anonymous vehicle to report accounting and auditing fraud.
  • This system supports our efforts to foster a culture of integrity and ethical decision-making based on our Company Values and Code of Conduct.

Reporting – General

May I report using either the Internet or the phone?

Yes. You can file a report over the phone or Internet.

What type of situations should I report?

You should report any concerns about your work environment to EthicsPoint, including suspected violations of our Code of Conduct (located on the Legal page in Nerd Life), disagreements with teammates or other concerns you may have.

EthicsPoint is not a system for submitting questions and support requests regarding your compensation, benefits or rewards, please use AskPeopleOps@newrelic.com for those types of inquiries.

In certain countries, New Relic may only accept reports through the Hotline that relate to certain matters specified in applicable whistleblowing law. If your concern pertains to a matter that, under local law, may not be accepted by New Relic through the Hotline, you will be asked to report the matter directly to a HR Business Partner, the Chief People & Diversity Officer, the VP - Assistant General Counsel, AskPeopleOps@newrelic.com or another representative of the People or Legal teams, depending on the subject matter.

If I see a violation, shouldn't I just report it to my manager, security, or human resources/people team and let them deal with it?

When you observe some behavior that you believe violates our Code of Conduct, we expect you to report it. Ideally, you should bring any concerns forward to your manager or any People Manager, HR Business Partner, the Chief People & Diversity Officer, the VP - Assistant General Counsel, AskPeopleOps@newrelic.com or another representative of the People or Legal teams. We recognize, however, that there may be circumstances when you are not comfortable reporting the issue in this manner. It is for such circumstances that we have partnered with EthicsPoint. We would rather you report anonymously than keep the information to yourself.

Why should I report what I know?

We all have the right to work in a positive environment and with that right comes the responsibility of acting in an ethical manner and letting the appropriate people know if someone is not acting appropriately. By working together, we can maintain a healthy and productive environment. Corporate misconduct can threaten the livelihood of an entire company.

Does management really want me to use Ethicspoint?

We certainly do. You know what is going on in our company–both good and bad. You may have initial knowledge of an activity that may be cause for concern. Your reporting via Ethicspoint or through more traditional channels like your manager or HR Business Partner can minimize the potential negative impact on the company and our people. Also, by offering input, issues that can improve corporate culture and performance can be identified.

Where do these reports go? Who can access them?

Reports are entered directly on the EthicsPoint secure server to prevent any possible breach in security. EthicsPoint makes these reports available only to specific individuals within the New Relic who are charged with evaluating the report, based on the type of violation and location of the incident. Report recipients include the HR Business Partners and specific Legal Counsel team members. Each of these report recipients has had training in keeping these reports in the utmost confidence and are responsible according to their job role.

Reporting Security & Confidentiality

It is my understanding that any report I send from a company computer generates a server log that shows every web-site that my PC connects with, and won’t this log identify me as a report originator?

EthicsPoint does not generate or maintain any internal connection logs with IP addresses, so no information linking your PC to EthicsPoint is available. In fact, EthicsPoint is contractually committed not to pursue a reporter’s identity.

If you feel uncomfortable making a report on your work PC, you have the option of using a PC outside our work environment (such as one located at an Internet café, at a friend’s house, etc.) through the EthicsPoint secure website. Many people choose this option, as EthicsPoint’s data shows that fewer than 12% of reports are generated during business hours.

Can I file a report from home and still remain anonymous?

A report from home, a neighbor’s computer, or any internet portal will remain secure and anonymous. An internet portal never identifies a visitor by screen name and the EthicsPoint system strips away Internet addresses so that anonymity is totally maintained. Plus, EthicsPoint is contractually committed not to pursue a reporter’s identity.

In certain countries, however, anonymous reports may not be permitted under the law. In the event the issue or concern you wish to anonymously report cannot be processed pursuant to local law, the report recipient will request additional information regarding your identity. You may choose not to disclose additional information, but it may limit our ability to investigate the report.

I am concerned that the information I provide EthicsPoint will ultimately reveal my identity. How can you assure me that this will not happen?

EthicsPoint will allow you to remain anonymous if you wish, subject to local law. If you observe some behavior that you believe violates our Code of Conduct or company policies we expect you to report it. Ideally, you should bring any concerns forward to your manager or any People Manager, HR Business Partner, the Chief People & Diversity Officer, the VP - Assistant General Counsel, AskPeopleOps@newrelic.com or another representative of the People or Legal teams, depending on the subject matter. We recognize, however, that there may be circumstances when you are not comfortable reporting the issue in this manner. It is for such circumstances that we have partnered with EthicsPoint. We would rather you report anonymously than keep the information to yourself.

If you wish to remain anonymous as a reporting party, you will need to ensure that the body of the report does not reveal your identity by accident. For example, “From my cube next to Jan Smith…” or “In my 33 years…”.

It is important to understand, however, that anonymous reports are often difficult to investigate if insufficient details are provided.

Does the telephone toll-free hotline provide an anonymous option also?

Yes. You will be asked to provide the same information that you would provide in an internet-based report and an interviewer will type your responses into the EthicsPoint Web site.

What if I want to be identified with my report?

It is helpful for employees to identify themselves if comfortable, and there is a section in the report to identify yourself.

Tips & Best Practices

I am aware of some individuals involved with unethical conduct, but it doesn't affect me. Why should I report it?

Our company chooses to promote ethical behavior. All unethical conduct, at any level, ultimately hurts the company and all employees, including you. If you know of any incidents of misconduct or ethical violations, you are encouraged to report it.

I am not sure if what I have observed or heard is a violation of company policy, or involves unethical conduct, but it just does not look right to me. What should I do?

If you feel comfortable, you should bring any concerns forward to your manager or any People Manager, HR Business Partner, the Chief People & Diversity Officer, the VP - Assistant General Counsel, AskPeopleOps@newrelic.com or another representative of the People or Legal teams, depending on the nature of what you observed or heard. Otherwise you can file a report via EthicsPoint. EthicsPoint can help you prepare and file your report so it can be properly understood. We would rather you report a situation that turns out to be harmless than let possible unethical behavior or misconduct not be reported and therefore not investigated.

What if my boss or other managers are involved in a violation? Will they be notified?

The EthicsPoint system and report distribution are designed so that implicated parties are not notified or granted access to reports in which they have been named. EthicsPoint users consist primarily of the HR Business Partners and the certain Legal Counsel team members.

As part of an investigation, New Relic - consistent with the provisions of local law - aims to inform each person implicated in a report about the allegations against them within an appropriate time frame, but will seek not to disclose your identity (if disclosed). Implicated individuals will have the opportunity to respond to the information reported by you to ensure a fair, complete, and accurate investigation.

Please be aware that the information you supply about yourself, your colleagues, or any aspect of the company’s operations may result in decisions that affect others. Therefore, we ask that you only provide information that you believe is true. You will not be subject to retaliation from New Relic for any report of a suspected violation that is made in good faith, even if it later turns out to be factually incorrect. Please be aware, however, that knowingly providing false or misleading information will not be tolerated.

What if I remember something important about the incident after I file the report? Or what if the company has further questions for me concerning my report?

When you file a report at the EthicsPoint Web site or through the EthicsPoint Call Center, you receive a unique username and are asked to choose a password. You can return to the EthicsPoint system again either by Internet or telephone and access the original report to add more detail or answer questions posed by a company representative, and add further information that will help resolve open issues. We strongly suggest that you return to the site in the time specified to answer company questions.

Are these follow-ups on reports as secure as the first one?

All EthicsPoint correspondences are held in the same strict confidence as the initial report.

Can I still file a report if I don’t have access to the Internet?

You can file an EthicsPoint report from any device using the direct link. You can also report via the EthicsPoint toll-free hotline, which is available 24 hours a day, 365 days a year.

After you complete your report you will be assigned a unique code called a "report key." Write down your report key and password and keep them in a safe place. After 5-6 business days, use your report key and password to check your report for feedback or questions.
