What is EthicsPoint?

EthicsPoint is a confidential reporting tool managed by NAVEX on behalf of JLL to provide secure, confidential telephone and web-based reporting channels for use by those who wish to ask a question, make a suggestion or report a concern regarding unethical behavior or misconduct. The service is available 24 hours a day, seven days a week, and can accommodate calls in more than 150 languages.

Why do we use a system like EthicsPoint?

EthicsPoint provides secure and confidential reporting channels which are available 24 hours a day, 7 days a week in multiple languages. By creating open channels of communication, we can identify and resolve issues, strengthen our ethical culture, protect our people from harm and create a positive work environment.

EthicsPoint allows people to voice their concerns in circumstances where they may not feel comfortable doing so in person or directly to someone in the company. It provides the security of anonymous reporting through a safe and secure channel.

Having an effective reporting system helps strengthen our efforts to foster a culture of ethics, integrity and transparency.

Can I report using either the Internet or the telephone?

Yes! You can make a secure, confidential report either by clicking on the Report by Phone icon and calling the toll-free number for your location, or by clicking on the Report Online icon.

What type of situations should I report?

Our Ethics Everywhere Helpline makes it easy to report any concern regarding unethical behavior or conduct that is inconsistent with our Code of Ethics, Company policies or the law. It is okay if you don’t have all the details. You can also ask questions, make suggestions, seek advice or report something that you honestly believe is not right, such as financial and auditing concerns, harassment, theft, or unsafe conditions.

Concerns about an immediate threat of physical harm or damage to property should not be reported to the Ethics Everywhere Helpline. If you require emergency assistance, please contact your local emergency services.

Should I report my concern through the Ethics Everywhere Helpline, my manager, Human Resources or an Ethics Officer?

We offer many ways to ask questions, seek advice or report concerns and you are free to use the channel you feel most comfortable with. The important thing is that you speak up.

If you are a JLL employee, your manager or Human Resources business partner will usually be in a good position to understand and respond to your concerns. However, if you are not comfortable doing that, you can always reach out to an Ethics Officer, a member of the Legal, Ethics & Compliance team or contact the Ethics Everywhere Helpline.

Be assured that all concerns are taken seriously, and you will be treated with dignity and respect. We would rather you report anonymously than keep silent – by speaking up you can help make things right, strengthen our ethical culture and protect our people from harm.

I am aware of some individuals involved with unethical conduct, but it doesn't affect me. Should I report it?

Reporting unethical conduct is always the right thing to do. We all have the right to work in a positive environment, and with that right comes the responsibility of acting in an ethical manner and raising a concern if something is not right or someone is not acting appropriately. By working together, we can maintain a healthy and productive environment. Unethical conduct, at any level, ultimately hurts the company and all employees, including you.

I am not sure if what I have observed is inconsistent with our Code of Ethics or a breach of company policy, but it just does not look right to me. Will I get into trouble if I report something which turns out not to be a violation?

No. Please ask a question or raise a report if something doesn’t look right. If you honestly believe something is not right, you should speak up. We do not tolerate any form of retaliation against anyone who reports a concern or complaint, cooperates with an investigation, or refuses to do something that violates our Code, internal policies or the law.

What if my boss or other managers are involved in a violation? Won’t they get the report and start a cover-up?

No. EthicsPoint is designed so that implicated parties are not notified of or granted access to reports in which they have been named.

My native language is not English. Are there resources available that assist with report translations if I speak or write in other languages?

Whether a report is submitted to the Ethics Everywhere Helpline by telephone or via an online report, there are translation resources available. If reporting is done via telephone, the reporter must be able provide the English translation of their preferred language to the Helpline operator. A translator will then assist with the report.

Where do these reports go? Who can access them?

Reports flow into JLL’s secure platform, EthicsPoint, to prevent any breach in security. All reports go directly to a global triage team within JLL that evaluates the report based on the concern and location of the incident and assigns a case manager. Access to global reports is limited to Senior members of the Legal and Ethics & Compliance teams and system administrators.

In cases where the reporter has chosen to direct their report locally, the triage for those cases is performed locally and the cases are segregated into a separate location within the EthicsPoint platform. Cases reported locally are handled by local case managers. the Chief Ethics and Compliance Officer as well as limited Senior members of the Legal and Ethics & Compliance team and system administrators would have access to locally reported cases for company -wide risks controls & governance oversight purposes.

What is a report key?

The report key is the unique identifier for the report or question that you submitted, that allows you to check for updates, follow up on your case, respond to questions from the case manager and provide additional information. Please make a note of it when you first submit your report and keep the number secure, so you can regularly access the report and check for updates.

Why do I need a password and report key?

It is extremely important to retain your report key and password which allow you to access the report in the future. You will be asked to login to EthicsPoint again, either online or by telephone, 3 to 5 business days after you make your initial report and periodically thereafter. This allows you to monitor progress on your report and respond to requests for additional information or documentation.

What if I remember something important about the incident after I file the report? Or what if the company has further questions for me concerning my report?

If you remember something after making your initial report, use your report key and password to access your report, provide additional information and/or upload documentation.

What should I do if I lose my report key or forget the password I created?

Because of the high level of confidentiality that is maintained for reports, if you lose your report key or password, you will need to make a new report. You should mention in the new report that this matter relates to another report you made earlier.

I am feeling worried and anxious about making a report – can I find help to protect my emotional well-being?

Reporting Security & Confidentiality

I reported anonymously and I am concerned that the information I provide EthicsPoint will ultimately reveal my identity. How can you assure me that will not happen?

The EthicsPoint system is designed to protect your anonymity. If you wish to remain anonymous, make sure that the information you provide and your comments in the report do not reveal your identity by accident (for example, “From my desk next to Jan Smith…” or “In my 33 years…”).

All reporting (whether anonymous or not) is confidential. This means that your identity and information about your report will be confidential and only shared with a limited number of people on a strict need-to-know basis for the purpose of managing your report or when required to be disclosed by applicable laws. Can I make an anonymous and confidential report by telephone, too?

Yes. Reports made by telephone and online have the same security and confidentiality measures applied to them.

What if I want to be identified with my report?

There is a section in the report for identifying yourself if you wish to identify yourself. Investigations are completed more quickly and effectively when the reporter is identified because it allows the case manager to follow up directly with the reporter.

Are follow-ups on reports as secure as the first one?

Yes. All EthicsPoint correspondence maintain the same strict confidence as the initial report, continuing under the umbrella of anonymity.
